Arrival declaration

Once you have arrived at your host university, you will need to submit a mandatory document confirming the start of your mobility period. Payment of the advance instalment of your Erasmus+ or Overworld grant will only be processed once this document has been received.

Within five days of arriving at your host institution, ask the International Relations Office to complete and sign the form Declaration of Arrival at the Host Institution.

This form can be found in the 'Forms' section of the page dedicated to the 'Call for Applications'.

Once signed and stamped, please email the form to the Erasmus Office in Parma. Please note that there are two different email addresses for Erasmus+ and Overworld programme participants.

Use the following format for the email subject line: Surname – Student ID Number – Declaration of Arrival.

The Reception, Mobility and International Students Unit will only authorise payment of the mobility grant advance once it has received your declaration of arrival and the rest of the required documentation prior to departure.

• The host university completed my arrival declaration using a different form to the one used by the University of Parma. Is this a problem?
  No, as long as the form used by the partner university contains the following details: the signatory's first name, surname and role, the student's first name and surname, the relevant dates, a signature and, where applicable, a stamp, it is equivalent.
