Nomination: the University of Parma is notifying your departure
Once you have accepted your Erasmus+ grant on ESSE3, the Reception, Mobility and International Students Unit will forward your details to your host university by the deadline set by that institution. This is known as the nomination phase.
Each institution has its own deadline. The submission of names is coordinated to meet the various deadlines set by each partner university
Application: contacts, documents and deadlines
Once you have been nominated, it is up to you to obtain the necessary application forms, including the enrolment form from the host university, and submit them by the deadlines set by the partner institution.
You may not always receive updates by email, so you will often need to contact the host university directly to find out about procedures and deadlines.
Most frequently requested documents
Here are the documents most frequently requested by partner universities. However, you should always check the specific instructions provided by your host institution.
- Application form: the application form for the host university.
- Accommodation form: the form for requesting accommodation. Some universities offer places in student halls of residence (limited availability). Alternatively, you will need to find accommodation yourself.
- Learning Agreement (LA): to be submitted only after approval by your Departmental Coordinator. To complete it, follow the guides available on Esse3 and the OLA platform on the University website.
- Academic Transcript of Records: a certificate of exams taken at UNIPR showing marks and credits, in English. Request this from the Student Office at least 10 days in advance.
- Language certificate: if a language proficiency certificate is sufficient, you can take the CLA’s Language Placement Test (LPT). The certificate can be downloaded from Elly and states the level achieved. If formal certification is required (e.g. IELTS, TOEFL, GOETHE, DELE…), you must obtain it yourself.
- Mobility allocation statement: you can request this from the Reception, Mobility and International Students Unit: it serves to confirm your allocation and the expected funding.
Remember to check the specific documentation required by your host university.
Please adhere to the arrival dates and initial activities
Please check carefully the deadlines, the academic calendar and the recommended arrival dates provided by your partner institution.
Arriving too late or outside the designated period may mean missing out on key activities, such as:
- Induction/orientation week
- Intensive language courses
- Meetings with staff and other students
- Information on available services
Remember: the start of your mobility programme always depends on acceptance by the host university.

At universities abroad, attendance at lectures is often compulsory to sit exams.
